Expert Knowledge Capture

Expert Knowledge Capture Software for Skilled Teams

The best fixes and hardest-won judgment live in your senior people's heads and leave when they do — DebriefCore captures expert knowledge in the field, has a human review it, and preserves it as searchable approved knowledge.

Human-approved · Not just AI notes
01Knowledge walks out the door

Expert knowledge is lost slowly, not all at once.

Most organizations do not lose their expert knowledge in a single moment. They lose it slowly through retirement, turnover, undocumented fixes, rushed handoffs, and language gaps. Each of those moments quietly erases senior judgment that the team can never recover. Expert knowledge capture software exists to stop that drain — to preserve expert knowledge while the people who hold it are still on the job.

DebriefCore gives skilled teams a structured way to capture expert knowledge in the field and turn it into governed, searchable, human-approved memory.

Turnover & retirement

Senior expert judgment walks out the door when experienced people retire or move on.

Undocumented fixes

The hardest-won field fixes stay in people's heads instead of the system.

Language gaps

Bilingual crews lose knowledge when it never gets written down in any language.

02Capture in 30 seconds, by voice

Capture expert knowledge by talking, not typing.

Experts will not write long reports. So DebriefCore does not ask them to. Instead of typing, an expert talks for about 30 seconds in English or Spanish about what happened, what worked, and what should be remembered.

The audio is transcribed and only the transcript is kept — the audio is never stored. Experts can attach reference photos for human reviewers, and those photos are never sent to any AI model. This makes it realistic to capture expert knowledge in the field, in the moment it is fresh.

Capture → Draft → Human Review → Approved Knowledge
  • Expert talks for ~30 seconds in English or Spanish
  • Audio is transcribed and only the transcript is kept — audio is never stored
  • AI structures the transcript into a formatted draft
  • Draft stays in the review queue until a human approves it
  • Approved knowledge becomes searchable organizational memory
03AI drafts, humans approve

AI drafts the capture. Humans approve the knowledge.

AI structures each capture into a clean, formatted draft so reviewers do not start from a blank page. But DebriefCore never treats AI output as final knowledge. Every draft stays in the review queue until an authorized human approves it.

There is no auto-approval. A qualified person reviews, edits, and approves every entry before it becomes approved organizational knowledge — which is what makes this safe for teams that cannot afford to capture expert knowledge incorrectly.

From spoken capture to approved entry

  • AI turns the transcript into a structured draft
  • The draft is labeled as a draft — never as approved knowledge
  • An authorized reviewer reads, edits, and decides
  • Nothing is published without a human approval
04From capture to governed memory

Approved captures become governed organizational memory.

Capturing expert knowledge is only half the job. To preserve expert knowledge long-term, it has to stay accurate. Once a capture is approved, DebriefCore manages it as governed organizational knowledge with review dates, ownership, criticality, governance status, revision history, and stale-knowledge tracking.

When an entry becomes overdue for review, DebriefCore can mark it stale so teams know exactly which knowledge needs a fresh look.

Governance fields per article

  • Review due dates
  • Article ownership
  • Criticality level (low / medium / high / critical)
  • Governance status: Current, Needs Review, Stale, Superseded, Archived
  • Append-only revision history
  • Daily automated stale-knowledge detection
05Bilingual capture for real teams

How bilingual capture works

  • Crews capture by voice in English and Spanish
  • DebriefCore auto-detects English and Spanish and answers in the language spoken
  • Spanish-speaking crews work in the language they actually use
  • Managers can review in English or Spanish

Bilingual capture for the teams who actually do the work.

A lot of senior expert judgment lives with Spanish-speaking crews. If a tool only works in English, that knowledge never gets captured. DebriefCore lets Spanish-speaking crews capture in the language they work in, and lets managers review in English or Spanish.

DebriefCore auto-detects English and Spanish and answers in the language spoken, so the expert never has to translate their own knowledge just to record it.
